Ensure proper documentation for all accounts payable and maintain filing system to ensure audit trails.
PRIMARY DUTIES AND RESPONSIBILITIES :
Process Production Fund, General Fund, Student Activity Fund, Capital Reserve Fund and Capital Project Fund payables ensuring proper documentation.
Coordinate with receiving to ensure accuracy of invoice with purchase order and other receiving documents.
Analyze bills for computation of prices, discounts, and prepare vouchers when ready for payment.
Input purchase orders and payments into computerized budgetary accounting system, verify results and prepare checks for Production Fund, General Fund, Capital Reserve Fund, Capital Project Fund, and Student Activity Fund.
Print and distribute all purchase orders.
Prepare list of bills for JOC approval.
Maintain a current, accurate vendor list in the budgetary accounting system including but not limited to collecting W-9 forms from new vendors.
Notify vendors of any damages, shortages, and discrepancies
